Client Qualifying & Expectation List
It isn’t just us who we hold to high standards. We hold you to them as well. Before we ever engage with a client, we make sure it is a good fit – for both of us.
- Our monthly bookkeeping services are provided remotely, except for onsite office organization and clutter cleanup. If you have a need for an ongoing onsite bookkeeper, we would not be a good fit.
- We aim to provide a quick response time to your inquiries and questions and would like the same in return so that we can keep the monthly bookkeeping cycle moving forward.
- When corresponding via email, we ask that you edit “subject lines” as needed to reflect the correspondence. This helps to better get our attention and it helps to find things in the archived email if either of us needs to look back.
- In order for us to be most efficient in completing the monthly bookkeeping process, we ask that clients provide us with login information for viewing reports online: reporting & inquiry access to view bank statements, credit card statements, PayPal accounts, square accounts, payroll reports, etc. This allows us to view everything at once when we are ready to sit down to work. We value efficiency and prefer not to have to make several phone calls or send several emails to chase clients for their information to complete our work.
- We utilize QuickBooks Online software as the means for completing bookkeeping for clients.
- For clients who invoice their customers and clients in QuickBooks Online on their own, we ask that you are in a routine of posting payments received to invoices on a monthly basis so that all deposits have been recorded by the 5th of the month for the month just ended. This keeps your accounts receivable accurate and it allows us to continue to move forward timely with monthly bank reconciliations.
- It is our goal to have all prior year W-9 form information in by 1/1 of each year. We ask that you obtain W-9 forms as needed throughout the year and forward them to us as you get them.
- We prefer not to use the QuickBooks Online bank feed. We’ve experienced that this can bring very messy data into QuickBooks Online depending on your bank and we don’t want to have to charge you unnecessarily for the additional time it may take to clean this up.
- If you are not already in the habit of doing so, please do not mix business with personal transactions (Example: if you use credit cards, designate a card specifically for business and specifically for personal). We do not want to have to charge you for the time that it takes to sort this out.
